Client Documents Sent to Taxably by Email

Taxably does not need your clients' tax documents and does not accept them. Taxably Connect reads documents on your firm's own computer, and nothing about using Taxably, or getting help with it, requires sending a client's document to us. Please do not attach a client's document, or a picture of one, to an email to support@taxably.ai or to any other Taxably address.

If one reaches us anyway, this is what we do.

1. We open only enough to know what it is

The person who reads the inbox opens the email and its attachment only as far as needed to see that it is, or appears to be, a client's tax document. We do not read further, copy any figure or detail from it, or note what it contains.

2. We do not use it

We do not read it with Taxably, add it to any record, forward it to anyone, or use it to answer the question that came with it.

3. We delete it within 7 days

Within 7 days of receiving it, we delete the email, its attachments, and every copy we made of them, including the copy in the mailbox's deleted-items folder and any reply that quoted it. Our email is hosted by Google Workspace, which is named on our Subprocessor List and may keep deleted mail for a limited time under its own terms before it is erased; we do not restore or open those copies.

4. We tell the sender

We reply to the sender, without the attachment, to say that we received a client document, that we deleted it without using it, and the date we deleted it.

• If the sender is a firm, we say how to get the help it asked for without sending a document.
• If the sender is not a Taxably customer, for example a taxpayer who wrote to us by mistake, we suggest sending the document to their own tax preparer.

5. We keep a record that it happened, not what it said

We record the date the email arrived, the sender's address, that it held a client document, and the date we deleted it, so that we can answer for what we did. The record holds nothing from the document itself.
